Job Description

Duties & Responsibilities

$·         Coordinate employee Expense Reimbursement Forms

$·         Collect reimbursement claims from employees

$·         Ensure all documentation is included (receipts and information)

$·         Edit claims for entry into QuickBooks

$·         Coordinate payments with Controller

$·         Under Finance and CEO direction maintain and update Employee Expense Reimbursement Policy

$·         Basic Bookkeeping

$·         From credit card Record excel sheets: check paper receipts, verify taxes & currency then number receipts from excel spreadsheet for entry into QuickBooks

$·         From credit card Record excel sheets: check online receipts, verify taxes & currency for entry into QuickBooks

$·         Classifications of basic expenses and disbursements

$·         From credit card Records prepared enter information into QuickBooks

$·         Maintain records of credit card spending

$·         Travel coordination

$·         Collect, record and report on travel requests and schedules

$·         Coordinate any other travel arrangements necessary

$·         Under Finance and CEO direction maintain and update Travel Policy

$·         Other administrative and bookkeeping tasks

$·         Under guidance prepare other statistical, financial and accounting reports

$·         Handle vendor / supplier requests & forms

$·         Respond to customer inquiries

$·         File paper records for invoice and expenses

$·         Assist in maintenance of Financial records

$·         Other administrative tasks assigned as per business needs

$·         Non administrative tasks

$·         Assist in keeping the kitchen area clean

$·         Set-up of Board Room for meetings of clients and staff

$·         Maintenance of the Board Room during the work day

$·         Other non-administrative tasks assigned as per business needs

Job Qualifications

Skills & Requirements

$·         Post-Secondary School education (degree, diploma, etc.) in Business field

$·         Accounting specific credentials an extreme asset

$·         Excellent verbal and written communication skills

$·         Ability to work in fast-paced environment

$·         Ability to adapt to different work tasks not defined in the above duties & responsibilities

$·         Microsoft Excel, Word and Gmail skills

$·         Knowledge of QuickBooks on-line an asset

$·         Eligibility for Government of Canada Enhanced Security Level (I) clearance is contingent on employment
